Zalfox Ltd is registered with the Information Commissioner's Office (ICO) as a data controller. Our registration number is ZC194455.

2. What data we collect

Depending on how you use the site, we may process:

• Contact and survey data — if you email us via the contact form or survey (for example name, email address, company, job title, message content, and survey responses).
• Usage and analytics data — if you accept analytics cookies, we collect information about how you use the site (for example pages viewed, clicks, device type, browser, and approximate location derived from IP address).
• Technical data — our hosting provider may process server logs (for example IP address, browser type, and request timestamps) to deliver and secure the website.

We do not operate user accounts, process payments, or sell personal data.

3. How we collect data

• You provide it — when you choose to contact us or complete the survey using your email application.
• Automatically — through analytics tools and server logs, where applicable and permitted.
• Cookies and similar technologies — see our Cookie Policy.

4. Lawful bases for processing

Under UK GDPR, we rely on the following lawful bases:

• Consent — for non-essential analytics and advertising cookies (Google Analytics, Microsoft Clarity, and Meta Pixel). You can withdraw consent at any time by clearing site data or rejecting cookies on your next visit.
• Legitimate interests — to operate, maintain, and improve the website, understand aggregate usage, and respond to enquiries you send us. We balance these interests against your rights and freedoms.
• Legal obligation — where we must comply with applicable law.

5. How we use your data

• Provide and maintain the website.
• Respond to messages and survey responses you send us.
• Understand how the site is used and improve content and usability.
• Monitor site security and prevent misuse.
• Meet legal and regulatory requirements.

6. Third parties and processors

We use trusted service providers who process data on our behalf:

• Google Analytics — website usage analytics (only if you accept analytics cookies).
• Microsoft Clarity — session replay and heatmap analytics (only if you accept analytics cookies).
• Meta Pixel — advertising measurement and campaign attribution on Facebook and Instagram (only if you accept analytics cookies).
• Hosting provider — to host and deliver the static website.

When you follow links to third-party SaaS provider websites, their own privacy policies apply. We are not responsible for how those sites handle your data.

7. International transfers

Some of our service providers (including Google, Microsoft, and Meta) may process data outside the UK. Where this happens, we rely on appropriate safeguards such as the UK International Data Transfer Agreement or UK Addendum to EU Standard Contractual Clauses, as applicable.

8. How long we keep data

• Contact and survey enquiries — kept only as long as needed to respond and for a reasonable period afterwards (typically up to 24 months), unless a longer period is required by law.
• Analytics data — retained according to the settings in Google Analytics, Microsoft Clarity, and Meta Pixel (typically 14 months or less).
• Server logs — retained by our hosting provider for a limited period for security and operational purposes.

9. Your rights

Under UK GDPR, you have the right to:

• Access the personal data we hold about you.
• Request correction of inaccurate data.
• Request erasure in certain circumstances.
• Restrict or object to processing in certain circumstances.
• Request data portability where applicable.
• Withdraw consent at any time (where processing is based on consent).

To exercise these rights, email team [at] zalfox.com. We may need to verify your identity before responding.

10. Complaints

If you are unhappy with how we handle your personal data, please contact us first at team [at] zalfox.com.

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO): ico.org.uk/make-a-complaint.
